The end of an assembly order is not the moment the last board passes inspection. It is the moment the customer can use what arrived, which depends on how the boards were protected, how they were identified and whether the accompanying information describes what is in the box.

A sound delivery is therefore a manufacturing achievement rather than a logistics one, and it is planned at the beginning of the order rather than assembled at the end of it. The questions to settle early are simple: how many packages, how the units are separated, what is written on each one and what documentation accompanies them.

What Delivery Should Mean

A delivery that satisfies the order only in quantity leaves work for the customer. Boards that arrive mixed, unlabelled or in unsuitable packaging have to be sorted, re-counted and re-protected before they can be used, and the effort is invisible in the purchase price and very visible in the schedule.

A delivery that satisfies the requirement answers four things without a phone call: how many units, which revision and batch they belong to, what test status they carry and how they are protected. Each of those is a decision made during the order, and each is easy to record at the point where the information exists.

For a customer who assembles the boards into equipment, there is a fifth consideration: whether the packaging suits the way the boards will be issued to the line. A single box that has to be counted and divided before use is slower than trays or reels that can be handed out as they are.

Packing Against Static, Moisture and Load

The boards are a semi-finished electronic product, and the hazards of transport are known. Static during handling is the first, which is why the packing uses antistatic bags, trays or boxes rather than whatever container is available, and why the material that touches the board has to be chosen rather than improvised.

Moisture is the second. A board that has absorbed water can be damaged during a later reflow, and a product that will spend months in store before use benefits from protection against humidity as well as from the desiccant and the indicator that show whether it has remained intact.

Mechanical load is the third. Boards stacked without support flex; connectors and tall components take the weight; a heavy transformer can damage its own joints when a box is dropped. Where the assembly carries tall or heavy parts, the packing should hold the boards so that the load is not taken by the components.

These requirements vary with the product, which is why stating the packing specification in the order is more useful than assuming a standard. The specification can be short: how each unit is protected, how many per package, whether individual bags are required and what the package has to withstand.

Batch Separation and Identification

Once more than one batch of a product exists, identification becomes part of quality. Boards from different batches may differ in the material lots used, the revision of the board, the software version loaded or the substitution that was approved, and a package that does not record which of those applies cannot be traced later.

The practical arrangement is a label per package that states the product, the revision, the quantity, the batch or date and the test status, plus a marking on the boards themselves where the product allows it. Where units are individually numbered, the numbers are recorded rather than only printed, which is what makes a specific unit findable.

Batch separation is also a matter of physical arrangement. Two revisions of the same board in one carton is a mistake that will eventually reach the line, and a brief rule about packing each batch separately is more reliable than any instruction to be careful.

Documentation and Traceability

The paperwork that accompanies a delivery is the customer’s evidence that the order was fulfilled as agreed. It typically needs to show the quantity delivered, the product revision, the batch reference, the material where that is relevant, the test result and any exception such as a unit that was repaired.

Traceability is the ability to move in both directions: from a delivered unit back to the material and the process that produced it, and from a material lot forward to the units that contain it. That is only possible if the links were recorded at the time, and recording them is a small task that becomes impossible to reconstruct later.

For products used in industrial, instrument or equipment applications, that capability is often a requirement of the customer’s own quality system rather than a preference, and the question of what a supplier can provide is worth asking before the order rather than after.

What to Confirm Before the Shipment

Most disputes about a delivery are settled by information that existed at the time and was not written down. A short confirmation before the boards leave removes nearly all of them.

The quantity is the first item, and it should be the number actually packed rather than the number ordered, since the two sometimes differ after a unit has been set aside. The second is the revision: the board revision, the material revision where it matters and the software version loaded, stated together so that the configuration of the delivery is unambiguous.

The third is the test status, expressed as what was done rather than as an assurance that the boards are good. Boards that were fully tested, boards that were inspected only and boards that are known to be outside the usual flow are three different categories, and identifying them prevents a unit intended for evaluation from entering a production line.

The fourth is the arrangement of the packages: how the units are divided, whether the division follows a project or a batch, and which package is which. The fifth is the documentation, which should be agreed in form as well as in content — a printed packing list, a digital table of results or a label that carries the reference, depending on how the customer’s own records are kept.

Confirming these five items takes a few minutes and answers the majority of the questions that would otherwise be raised in the week after arrival, at a point when the boards are already in use and the information is harder to recover.

Planning the Shipment Around the Customer’s Process

The last step is coordination. The shipping arrangement, the final quantity, the packing method and the documentation all have to arrive with the customer’s own process, which may involve incoming inspection, storage, assembly or onward distribution.

Where the order is part of a larger programme, that context is worth sharing. A delivery intended for immediate assembly has different requirements from one destined for a warehouse, and a shipment that will be divided between several projects benefits from being packed accordingly.
